Invoice Presentment does not allow for customers to be omitted from invoice delivery

Client: OutSolve (Intacct)

What is the use case?
  • Invoice presentment is an all or nothing setting, it doesn't allow the user to decide which customer/invoices to handle in a separate way.

  • i.e. - client may wish to use different invoice presentment language for different customer categories or customers from an acquisition/merger. Ex: "Welcome to OutSolve! We are pleased to welcome you as a new OutSolve client. As you may know, on February 13, 2023 OutSolve, LLC acquired Career Resources, Inc., giving you access to greater resources, services, and customer support. Attached please find Invoice #...."

Impact?

High - if clients do not wish to use invoice presentment across the board, they would have to do invoice presentment out of their GL which breaks the customer experience (invoice from one email, Centime reminders from a different email) OR place group customers into Workflows for the hacky workaround we used to do.

Is there a work around?

Yes but painful - Outsolve would need to create workflows for each customer group and backdate reminder nodes to coincide with invoice delivery.

Proposed solution?
  • Invoice presentment to allow user to select clients to omit from Invoice Presentment

  • Global setting - On/Off for New customers to be automatically put on Invoice Presentment or not

  • Client can use the Default Workflow to create a workflow to capture new customers & decide what to do with them - they should be able to decide whether to have this customer on Invoice Presentment / utilize a workflow for inv delivery / manually deliver this customer's invoices etc.

  • Client can then use a Workflow to utilize specific customer language for invoice delivery & reminders
